Short answer: a reliable conference room is designed around the people farthest from the camera, microphone, speakers, and display—not around a device bundle. Match coverage to the room and seating, make routine meetings simple to start, and provide a tested way for guests to connect.
Start with room use, not a product list
Document the seating layout, maximum occupancy, typical meeting platforms, presentation sources, remote-presenter needs, and whether the room will also host training or all-hands programs. How large should a conference room display be?
Size is driven by the farthest viewer and the smallest critical content, not only the diagonal measurement. Spreadsheets and detailed slides need larger text and often a larger image than ordinary face-to-face video. Mounting height must preserve sightlines without forcing viewers to look upward for an entire meeting. A touch display can help annotation and whiteboarding when that workflow is genuinely used.
Camera placement and coverage
- Place the primary camera near eye level and as close as practical to the remote-participant display.
- Frame faces clearly rather than showing unused ceiling and table space.
- Use presets, speaker tracking, or additional cameras only when the seating pattern and meeting style justify them.
- In large boardrooms, validate the tightest useful shot from the farthest seat.
Microphones, speakers, and acoustics
A camera can see a room; one laptop microphone usually cannot cover it. Select tabletop, ceiling, or beamforming microphones based on seating and room construction, then design loudspeaker and echo-cancellation paths as one system. HVAC noise, glass, hard walls, and long reverberation reduce intelligibility. Acoustic treatment may improve the room more than replacing one electronic component.

Google Meet, Microsoft Teams, Zoom, and Webex interoperability depends on the room platform, licenses, account policy, and current join method. Do not assume every feature crosses platforms. Test the exact invitation and guest workflow the organization uses.
USB extension, switching, and wireless presentation
USB cameras and audio devices have practical distance and bandwidth limits. Medium and large rooms may need active extension or structured transport, plus switching that coordinates USB and display signals. Wireless presentation is convenient for routine content sharing, but a wired path remains useful for guests, protected networks, high-motion media, and troubleshooting.
Network and security requirements
- Coordinate wired bandwidth, Wi-Fi, firewall rules, VLAN policy, device management, and platform ports with IT.
- Separate control and media traffic where the design requires it; do not create an unmanaged parallel network.
- Plan firmware, certificates, credentials, remote monitoring, and update ownership.
- Provide accessible wired connections for room appliances and high-importance meetings.
Dual displays, schedulers, and room control
Dual displays can keep remote participants visible while presentation content remains full size. Room schedulers help only when they synchronize with the organization's calendar and booking policy. The in-room controller should expose the few controls users need and reserve commissioning or routing functions for support staff.
When a meeting room needs production AV
A standard room system is optimized for routine collaboration. Executive broadcasts, town halls, multi-camera programs, media playback, audience microphones, recording, and overflow rooms may need temporary production equipment and operators.
