The number of wireless microphones you need is determined more by how the program runs than by how many people are in the audience.
A 500-person keynote may only need two or three microphone channels. A 100-person panel discussion could easily need seven or eight.
The easiest way to plan is to count:
- Everyone who needs to speak without passing a microphone
- Audience Q&A microphones
- Any dedicated lectern or moderator microphone
- Dedicated microphones for executive presenters
- At least one backup for higher-visibility programs
For panels, executive meetings, hybrid events, and programs with frequent presenter changes, having enough microphones usually makes the event run more smoothly than trying to minimize the channel count.

These are starting points rather than hard limits. Program format, room layout, recording or streaming requirements, presenter importance, and the number of simultaneous wireless systems all affect the final design.
Count Simultaneous Presenters, Not the Agenda
An agenda might list 20 presenters over the course of a day. That does not mean you need 20 microphones.
Instead, look at the largest number of people who need microphones at the same time.
For example, a conference might include:
- Morning keynote: 1 presenter
- Fireside chat: 2 participants
- Panel: 5 panelists + moderator
- Audience Q&A: 2 roaming handhelds
The keynote only needs a few channels, but the panel portion may require eight simultaneous microphones once the moderator and audience Q&A are included.
That peak requirement normally determines the wireless system for the room, with additional dedicated channels retained where the program requires them.

Executive Presenters Should Have a Dedicated Microphone and Channel
For executive presentations, we treat a dedicated microphone and console channel as part of the baseline design.
It can be tempting to reuse the same lavalier or bodypack throughout a program, especially when only one person is presenting at a time. For an executive presenter, that can create unnecessary problems.
The Microphone May Not Come Back Immediately
An executive may finish a keynote and continue wearing the microphone while:
- Sitting down for a panel
- Moving into a Q&A segment
- Talking with other participants backstage
- Returning to the stage later
- Moving between portions of a town hall
Building the next presenter transition around immediately recovering that bodypack can create unnecessary pressure backstage.
A dedicated microphone lets the program continue without waiting for the executive's microphone to be returned.
The Channel Can Be Tuned for That Presenter
Different voices require different treatment.
A dedicated console channel allows the A1 to maintain EQ, gain, compression, routing, and other settings specifically for that presenter rather than changing settings every time a shared microphone moves to someone else.
That is especially valuable for executives who appear repeatedly throughout the program.
It Reduces Show-Day Variables
High-visibility presenters are generally not the place to save one wireless channel.
A dedicated microphone means the production team can test it during soundcheck, verify placement, establish appropriate levels, and leave the configuration ready for that presenter.
For executive town halls, customer-facing events, board meetings, keynotes, and similar programs, we would rather have that known-good microphone remain assigned than introduce another handoff simply to reduce equipment count.
Should Every Panelist Have a Microphone?
For a conversational panel, usually yes.
Passing one or two handheld microphones among five or six panelists may save equipment cost, but it changes the way the discussion works. Participants have to wait for the microphone, someone has to manage the handoff, and spontaneous conversation becomes awkward.
For a typical panel with four panelists and one moderator, we generally prefer:
- 4 microphones for the panelists
- 1 microphone for the moderator
- 1 spare channel
- 1–2 handheld microphones if there will be audience Q&A
That puts a full panel discussion at approximately 6–8 wireless channels, depending on the format.
For a controlled interview or fireside chat with only two people, two active microphones plus a backup is usually sufficient.

Handheld, Lavalier or Headset?
The right microphone type matters just as much as the quantity.
Handheld Wireless Microphones
Handhelds are the most flexible choice.
They work particularly well for:
- Emcees
- Audience Q&A
- Award presentations
- Toasts
- Moderators
- Presenters comfortable holding a microphone
- Backup and emergency microphones
A handheld places the microphone relatively close to the presenter's mouth when used correctly, which can provide strong speech clarity and good gain before feedback.
They are also easy to hand from one person to another when the program format allows it.
The main drawback is microphone technique. A presenter who holds the microphone at waist level, continually changes its distance, or points it away from their mouth can be difficult to reinforce consistently.
Lavalier Microphones
Lavalier microphones are a good choice when the presenter needs their hands free and the stage environment is reasonably controlled.
They work particularly well for:
- Corporate presentations
- Panel discussions
- Interviews
- Executive presentations
- Demonstrations
- Presenters who prefer a less-visible microphone
A lavalier is normally clipped to the presenter's clothing around the upper chest area. This makes it unobtrusive and allows the presenter to speak naturally without holding a microphone.
The tradeoff is that the microphone is farther from the presenter's mouth than a handheld or headset.
That means microphone placement becomes important. Clothing, jewelry, jackets, hair, or a microphone mounted too low can affect clarity or create unwanted noise.
Because the microphone is farther from the voice, the audio system may also require more gain. That can result in more surrounding room or stage sound reaching the microphone and can reduce the amount of gain available before feedback.
For a quiet corporate stage with appropriate loudspeaker placement, a lavalier can work extremely well.
As the stage becomes louder, however, a headset may become the better option.
Headset Microphones
Headset microphones are useful when speech consistency, presenter movement, or isolation from surrounding stage noise becomes particularly important.
They work especially well for:
- Presenters who move around the stage
- Trainers and instructors
- Demonstrations
- Fitness or other active presentations
- Presenters who turn their head frequently
- Situations requiring strong speech clarity
- Stages with significant background or stage noise
A headset keeps the microphone capsule close to the presenter's mouth and at a relatively consistent distance even while the presenter moves or turns their head.
That close placement provides an important technical advantage: the presenter's voice reaches the microphone much louder relative to surrounding noise.
What Is Stage Noise?
Stage noise is sound around the presenter that the microphone can pick up in addition to the presenter's voice.
Depending on the event, that can include:
- Live instruments
- Floor monitors
- Loud music playback
- Nearby loudspeakers
- Other performers or presenters
- Audience noise near the stage
- Mechanical equipment
- Environmental noise
A lavalier mounted on the chest may be several inches from the presenter's mouth. To make the presenter's voice loud enough, the audio engineer needs to apply more gain.
That extra gain also makes the microphone more sensitive to everything else around it.
A headset places the microphone much closer to the mouth. The voice therefore reaches the microphone at a significantly higher level compared with the surrounding noise.
The result can be:
- Better speech intelligibility
- Less unwanted stage sound
- More consistent level as the presenter moves
- More usable gain before feedback
For a quiet corporate presentation, a lavalier may offer an excellent combination of performance and discreet appearance.
On a louder stage, however, a headset can produce a much cleaner and more reliable result.
The primary tradeoff is appearance. Some corporate presenters prefer the less-visible look of a lavalier, so microphone selection is often a balance between aesthetics, movement, stage volume, and required sound-system level.
Audience Q&A Changes the Microphone Count
Audience questions are one of the easiest things to underestimate.
For a small room, one roaming handheld may be enough.
For a larger ballroom, town hall, or wide seating layout, relying on a single Q&A microphone can create long delays while a staff member moves from one side of the audience to the other.
As a starting point:
- Small controlled room: 1 Q&A microphone
- Medium audience or wider seating: 2 Q&A microphones
- Large town hall or multiple seating sections: 2 or more, depending on layout
The microphones also need people to move them.
For a higher-visibility program, assigning staff or stagehands to Q&A microphones usually works better than putting microphones on stands in the aisles and hoping attendees use them correctly.

Don't Forget the Backup Microphone
For an internal training session, operating with exactly the minimum number of microphones may be acceptable.
For a keynote, executive presentation, awards ceremony, customer event, graduation, or livestream, we generally recommend having a backup microphone immediately available.
A backup is useful for more than a catastrophic equipment failure. Problems can include:
- Damaged lavalier cable
- Clothing noise that cannot be corrected quickly
- Bodypack accidentally muted
- Dropped handheld
- Battery problem
- Presenter arriving with clothing unsuitable for the planned lavalier
- A last-minute additional presenter
- An unexpected audience Q&A segment
Often the fastest show-day solution is simply to hand the presenter another working microphone.
Backup Microphones Also Serve a Safety Role
A working handheld microphone can also be important when an announcement needs to be made quickly.
If there is a safety issue, evacuation, medical incident, weather problem, schedule interruption, or other unexpected situation, the production team or event organizer may need a reliable way to address the audience immediately.
That is another reason we prefer a backup handheld that is:
- Powered and ready
- On a known working channel
- Easily accessible to production staff
- Not currently attached to or carried by a presenter
For larger events, the backup microphone can therefore serve both as show redundancy and an immediate announcement path.
It should not be treated as a replacement for a venue's required life-safety or emergency notification systems, but it can provide an important communication tool for event-specific announcements.
For important events, redundancy should be considered part of the production plan rather than unused equipment.
More Wireless Channels Also Means More RF Planning
Adding wireless microphones is not the same as adding wired microphones.
Every simultaneously operating wireless transmitter needs a compatible receiver channel and an appropriately coordinated RF frequency.
As the number of wireless systems increases—and especially when multiple frequency bands, in-ear monitors, wireless intercom, nearby productions, or multiple rooms are involved—RF coordination becomes its own technical discipline.
A professional wireless deployment may include:
- RF spectrum scanning
- Coordinated frequency assignments
- Intermodulation analysis
- Networked wireless receivers
- Remote RF monitoring
- Directional antennas
- Antenna distribution
- Proper antenna placement
- Transmitter power planning
- Spare coordinated frequencies
- Battery monitoring and change schedules
- Coordination with venue and other production-company systems
For larger systems, NextLevel uses professional wireless equipment and coordinated RF planning rather than independently scanning each microphone and hoping that all of the channels remain compatible.
Multiple Rooms Need to Be Planned Together
A conference with six breakout rooms does not have six independent RF environments.
Even though the walls separate the meetings acoustically, wireless microphone signals can travel well beyond the room where they are being used.
For example, six breakout rooms using four wireless microphones each could put 24 wireless channels on the air at the same time.
That means the event should be coordinated as one RF system rather than six unrelated four-channel systems.
This is especially important when:
- Rooms are physically close together
- Multiple ballrooms share a hallway
- General session and breakout systems operate simultaneously
- Another AV company or venue system is also using wireless equipment
- Wireless intercom or in-ear monitor systems are in use
For multi-room conferences, tell the production company the total number of simultaneous wireless channels across the event, not just the number needed in the main room.
Hybrid and Recorded Events Benefit From Individual and Ambient Microphones
If a program is being livestreamed, recorded, or sent to Zoom, Teams, Meet, or another remote platform, dedicated microphones become even more valuable.
People sitting in the room may be able to hear a presenter or panelist speak without a microphone. Remote participants cannot.
Giving each active presenter or panelist an individual microphone allows the audio engineer to create a cleaner mix for:
- The audience in the room
- Remote participants
- Recordings
- Livestreams
- Press feeds
- Assisted-listening or interpretation systems
Don't Forget the Sound of the Room
A good hybrid-event mix often includes ambient or audience microphones in addition to the presenter's microphones.
Close microphones provide clear speech, but they do not necessarily capture what is happening in the room. Without ambience, remote participants may barely hear:
- Applause
- Laughter
- Audience reactions
- Group responses
- The overall energy of the room
This can make a live event feel strangely isolated to someone joining remotely.
Strategically placed ambient microphones can give the remote audience that missing context and make them feel more connected to the event.
The important distinction is that these microphones normally feed the far-side, broadcast, livestream, or recording mix only. They generally should not be reinforced through the room's local loudspeaker system.
Sending an open ambient microphone back into the same room through the sound system adds unnecessary room noise and can significantly increase the risk of feedback.
A hybrid event may therefore have several different audio mixes:
- Room mix: Presenter, panelist, playback, and other sources needed by the in-person audience
- Far-side / conferencing mix: Presenter and panel microphones plus appropriate audience and room ambience
- Recording or livestream mix: Similar to the far-side mix, but potentially adjusted separately for broadcast
- Return mix: Remote participants and other far-side audio sent back into the room, with proper echo cancellation or mix-minus routing
This is one reason hybrid production becomes more complex than simply connecting a laptop to the sound system. The same source may need to be routed differently depending on who should hear it.

Audio Staffing: A1, A2 and RF Coordination
As a production becomes more complex, it is useful to separate three different jobs:
- A1 / Lead Audio Engineer: Mixes and manages the audio system and show
- A2 / Skilled Audio Technician (AV Tech II): Manages microphones, presenters, and backstage audio operations
- RF Coordinator: Plans and monitors the wireless spectrum and frequency assignments
On smaller events, one experienced audio engineer may cover more than one of these responsibilities.
On larger or more complex productions, separating them allows each crew member to stay focused on their part of the show.
When Do You Need an A1?
The A1 is the lead audio engineer responsible for the overall audio system and show mix.
Depending on the event, the A1 may be responsible for:
- Mixing presenter and playback audio
- Muting microphones that are not in use
- Adjusting gain and EQ for individual presenters
- Managing compression and dynamics
- Mixing walk-in and playback music
- Creating separate room, recording, livestream, and far-side mixes
- Managing remote-participant audio
- Monitoring the overall audio system
- Troubleshooting audio problems during the program
- Coordinating with the video team, stage manager, show caller, and other production staff
One or two microphones in a small meeting can often be operated without a dedicated A1 after the system has been properly set up.
A dedicated audio engineer becomes increasingly important when the program includes:
- Several simultaneous microphones
- Lavalier or headset microphones
- Panels
- Executive presentations
- Frequent presenter changes
- Audience Q&A
- Hybrid or livestream audio
- Recording
- Multiple audio destinations or mixes
- Music or live performers
- High-visibility customer or management presentations
As the event becomes more complicated, the A1 needs to remain focused on engineering and mixing the show rather than leaving the console to find microphones, replace batteries, or wire the next presenter.
That is where an A2 becomes important.
When Do You Need an A1 and an A2?
The A2 is a Skilled Audio Technician (AV Tech II) who typically manages microphones, presenters, wireless equipment, and backstage audio tasks while the A1 remains at the console.
For corporate events, the A2 is often effectively the microphone wrangler.
An A2 may handle:
- Fitting lavalier and headset microphones on presenters
- Choosing the best microphone placement for clothing
- Checking for jewelry, hair, or clothing noise
- Preparing and labeling bodypacks
- Confirming transmitter batteries
- Recovering microphones after presentations
- Moving microphones between sessions when appropriate
- Keeping executive microphones dedicated and accounted for
- Handing out backup microphones
- Managing last-minute presenter changes
- Coordinating microphone handoffs backstage
- Testing microphones before presenters walk on stage
- Monitoring backstage wireless equipment
- Helping move Q&A microphones when needed
Why the A1 Shouldn't Also Be the Mic Wrangler
On a simple program, the audio engineer may be able to handle microphone preparation as well as mixing.
The problem appears when presenters are changing while the show is already running.
The A1 may be actively mixing a presenter on stage while, backstage:
- The next presenter needs to be fitted with a lavalier
- A panelist's clothing is creating microphone noise
- An executive still has a bodypack from the previous segment
- Someone has been added to the next panel
- A transmitter needs a battery change
- A microphone needs to be moved or replaced
- A presenter needs instructions on how to use the microphone
If the A1 has to leave the console to handle those tasks, the lead audio engineer is no longer at the console actively managing what the audience is hearing.
For shows with frequent microphone changes, the better approach is to keep the A1 at the console and the A2 with the presenters and wireless equipment.
A Practical A1 vs. A1/A2 Staffing Rule
An A1 alone is often appropriate when:
- There are only a few microphones
- The same presenters keep their microphones for long periods
- Presenter transitions are infrequent
- There is little backstage activity
- The show format is straightforward
We generally consider an A1 + A2 when:
- Several presenters need to be mic'd during an active show
- There are frequent presenter or panel changes
- Multiple lavaliers or headsets are in use
- Executives or VIPs require dedicated microphones
- Panels are being turned over during the program
- There are numerous wireless channels to manage
- The event is hybrid, streamed, or recorded
- There is significant backstage activity
- The show is important enough that microphone transitions cannot become a distraction
The exact breakpoint is not simply a fixed number of wireless channels.
A 10-channel panel where everyone is fitted before doors open may be easier to manage than a six-channel awards program with a new presenter every three minutes.
The pace of microphone changes is often what determines whether a dedicated A2 is needed.
When Do You Need a Dedicated RF Coordinator?
As the wireless system grows, RF management can become too large a responsibility to simply add to the A1 or A2 workload.
An RF Coordinator is responsible for planning and managing the radio-frequency environment used by the production.
That can include:
- Scanning the available RF spectrum
- Coordinating compatible wireless microphone frequencies
- Coordinating wireless intercom and in-ear monitor systems
- Identifying interference sources
- Coordinating with venue-owned wireless equipment
- Coordinating frequencies with other production companies
- Planning antenna locations and distribution
- Monitoring RF performance during the event
- Preparing spare frequencies for interference or equipment changes
- Managing changes when additional wireless systems appear onsite
A separate RF Coordinator becomes increasingly valuable when the event has:
- A large number of wireless microphone channels
- Multiple rooms operating simultaneously
- Wireless in-ear monitor systems
- Wireless intercom
- Multiple production companies or vendors
- Venue-owned wireless systems that must remain active
- A convention center, hotel, campus, festival, or other RF-dense environment
- Several frequency bands in use
- A high-profile program where RF failures would have significant impact
There is no single channel count where every event suddenly requires a dedicated RF Coordinator.
The surrounding RF environment matters just as much as the number of microphones.
Twenty wireless channels in a controlled standalone venue may be relatively straightforward. Twenty channels inside a convention center with neighboring events, venue wireless, intercom, and other production systems can be a much more complicated RF problem.
On a moderate show, the A2 or another qualified member of the audio team may handle RF coordination as part of their responsibilities.
On a large or RF-dense production, assigning a dedicated RF Coordinator allows:
- The A1 to concentrate on engineering and mixing the show
- The A2 to concentrate on presenters and microphones
- The RF Coordinator to concentrate on keeping the wireless system reliable
Example: 120-Person Corporate Town Hall
Consider a 120-person quarterly company meeting with:
- CEO presentation
- Two-person leadership conversation
- Four-person panel
- Moderator
- Audience Q&A
A practical microphone plan might include:
- 1 dedicated wireless lavalier for the CEO
- 4 wireless lavaliers for panelists
- 1 moderator microphone
- 2 wireless handhelds for audience Q&A
- 1 backup handheld/channel
The CEO's microphone remains assigned to the CEO even if that channel is not being used during every portion of the program.
That provides a known microphone and console channel that has already been checked and tuned for the CEO, and the production does not depend on immediately recovering that bodypack for another presenter.
If presenters and panels are changing throughout the program, this is also a good example of an event where an A1 and A2 may make sense. The A1 can continue engineering and mixing the program while the A2 prepares the next group of presenters and manages microphones backstage.
If the event is also being streamed or delivered to remote employees, we might additionally use one or more wired ambient microphones for audience reaction and room sound. Those microphones would normally be routed to the far-side or broadcast mix rather than the local loudspeaker system.
Example: Multi-Room Corporate Conference
Now consider a conference with:
- 1 general session
- 6 breakout rooms
- 8 wireless channels in general session
- 4 wireless channels in each breakout room
- Wireless production intercom
- Venue-owned wireless equipment operating elsewhere in the building
The event may have more than 30 simultaneous wireless channels operating within the same facility.
At that point, the microphone plan is no longer simply a matter of assigning channels to presenters.
The entire RF environment should be coordinated together.
A production like this may reasonably use:
- A1 / Lead Audio Engineer to mix the general session
- A2 / Skilled Audio Technician (AV Tech II) to manage presenters and wireless microphones backstage
- RF Coordinator to plan and monitor the wireless spectrum across the event
- Additional audio engineers or skilled technicians for breakout rooms as required by their scope
This division of responsibilities helps prevent the general-session A1 from becoming responsible for mixing the show, mic'ing presenters, and troubleshooting dozens of wireless frequencies at the same time.
Example: 500-Person Keynote
Now consider a 500-person keynote with only one presenter and no audience Q&A.
The microphone requirement could be as simple as:
- 1 dedicated presenter lavalier or headset
- 1 backup handheld
Total: 2 wireless channels
The 500-person audience will require a much larger sound system than the 120-person meeting, but it does not automatically require more wireless microphones or a larger wireless crew.
If the same presenter remains on stage for the entire program, an A2 or dedicated RF Coordinator may not be necessary.
This is why microphone quantity and audio staffing should be planned around the program and RF environment, not simply the audience count.
What About Theater, Choir and Live Performance?
The microphone planning above is primarily aimed at corporate events, presentations, panels, ceremonies, meetings, and similar programs.
Theater and musical performances can require a very different approach.
A theatrical production may use wireless microphones on much or all of the principal cast, with additional considerations for costume changes, microphone concealment, battery changes, backstage microphone handling, stage noise, orchestra levels, backups, and a much denser RF environment. Even a relatively small production can therefore require more wireless channels and more backstage audio support than a much larger corporate event.
Choir reinforcement works differently again. A choir generally does not require one wireless microphone per singer. Depending on the venue and purpose, strategically placed microphones can cover groups of performers, while separate microphones may be used for soloists, instruments, or presenters.
The correct approach also changes depending on whether the goal is:
- Reinforcing the choir for the audience
- Making a clean recording
- Feeding a livestream
- Supporting soloists
- Combining choir with a live band or orchestra
- Operating indoors versus outdoors
These applications involve different microphone placement and gain-before-feedback considerations than a keynote or panel discussion.
For theater and choir productions, we recommend designing the microphone system around the production rather than applying a simple presenter-to-microphone ratio.
What We Need to Recommend a Microphone Package
If you are requesting an AV quote, the most useful information is:
- Number of presenters
- Largest panel or group speaking at once
- Whether there are executives or VIP presenters
- How frequently presenters change
- Whether there is a moderator
- Whether audience Q&A is planned
- Lectern use
- Presenter preference for handheld, lavalier or headset
- Whether the event is being recorded or streamed
- Number of simultaneous rooms
- Venue and room layout
- Event schedule
- Whether wireless intercom or in-ear monitors are being used
- Whether another production or venue wireless system will be operating nearby
If some of that is still unknown, send us the agenda or run of show. We can usually determine a practical microphone count and staffing plan from the program.
Which option fits best?
The right fit depends on event size, venue or site conditions, available staffing, technical complexity, and how hands-on you want your team to be on event day.
- Rentals Only
- Best for straightforward events when your team already knows the required microphone types and channel count and can handle setup, RF coordination, and operation. This is usually the lowest-cost path.
- Hybrid Support
- Best when delivery and setup should be handled professionally but the client or venue staff can operate a simpler system. It reduces setup risk while costing less than full service, but operation still requires technical knowledge.
- Full-Service AV / Production
- Best when timing, coordination, reliability, multiple audio mixes, or several wireless channels matter most. Onsite A1/A2 support provides the least hands-on involvement for the client.
