Design for the worst seat in the audience, not for the laptop in front of you. A slide can look excellent on a 27-inch monitor from two feet away and still be unreadable on a 12-foot screen from the back of a ballroom. A 4K display cannot make physically tiny text readable from 60 feet away; image size, viewing distance, content density, contrast, and layout matter more.

- Livestream, recording, cameras, or IMAG: content may share the frame with people, lower thirds, or remote participants.

Content design and display size solve different problems
There are two ways to improve readability: make the image larger and make the content easier to read. Often both are necessary. A dense spreadsheet may need substantially more image area than a title-and-photo slide for the same room. Typography and text readability
There is no universal minimum PowerPoint point size. Readability changes with screen dimensions, viewer distance, font family and weight, contrast, content volume, projection quality, audience eyesight, and screen position. Designing content for projection screens
Projection is more affected by ambient room light than direct-view displays. Favor strong foreground/background separation, large text, thicker lines, simple charts, and fewer subtle shades. Avoid light gray on white, dark gray on black, thin chart lines, and important differences carried only by delicate gradients.
Neither white nor dark backgrounds are universally required. Both can work in controlled conditions. However, a full-white slide can add substantial room light, change the stage's visual feel, affect camera exposure, and reflect light onto presenters during keynotes, awards, galas, recordings, or IMAG. Designing content for LED walls
Pixel pitch
LED pixels are physically spaced apart. Close viewers may see individual pixels on a coarser-pitch wall, and tiny type, one-pixel borders, fine lines, or dense patterns may not reproduce cleanly even from a high-resolution file. Match pitch to viewing distance using the LED wall size and pixel-pitch guide.
Native wall raster
An LED wall is not necessarily 1920 × 1080 or 3840 × 2160. Its raster comes from physical dimensions, panel/module resolution, pixel pitch, and processor configuration. A processor can scale conventional content, but custom scenic graphics often look better when produced for the actual canvas. Ask the production team for the final LED canvas dimensions and pixel resolution before custom scenic content is produced.
Unusual aspect ratios
LED may be built as an ultrawide backdrop, banner, vertical column, separated surfaces, or a center wall with side columns. Keep a normal 16:9 deck within a defined presentation region, surround it with scenic branding, create purpose-built full-canvas content, or use separate processor regions. Do not stretch 16:9 slides to fill a dramatically wider wall.
Large white fields
Bright full-white LED content can overpower an indoor room, affect stage lighting and camera exposure, and increase power demand compared with darker content. Set wall brightness for the environment rather than assuming maximum output is desirable.
Match the content to the screen shape
- 16:9
- The current standard for most TVs, presentation projection, video playback, and livestream/program feeds.
- 4:3
- Still appears in legacy decks, older screens, and institutional content. On a 16:9 canvas it may show side bars; filling the frame may crop content.
- Custom LED ratios
- 2:1, 3:1, ultrawide, vertical, or scenic shapes require a planned presentation region or custom canvas rather than automatic stretching.
Keep important content away from the edges
Maintain a reasonable visual safe area around speaker names, captions, sponsor logos, QR codes, lower thirds, and critical text. Scaling, cropping, processor regions, IMAG overlays, livestream graphics, unusual LED canvases, and occasional display overscan can all affect edges. A modest inset is a useful starting practice, but the exact safe area should be confirmed for the actual output layout rather than treated as one universal percentage.
Charts need to be read from the back row
- Reduce the number of data series.
- Increase labels and line weights.
- Direct-label important values where possible.
- Highlight the point currently being discussed.
- Use several slides instead of six charts on one screen.
Avoid tiny legends, fine grid lines, ten similar colors, and charts copied directly from an analytics dashboard. A desktop chart is not automatically a ballroom presentation graphic.
A large screen does not turn a spreadsheet into a presentation graphic
Show only the rows and columns being discussed, increase text size, highlight one area, rebuild key figures as a chart or simplified table, zoom or crop before the event, and split complex data across slides. If a presenter must navigate a live spreadsheet, test it on the event system from the expected viewing distance.
Don't build a “logo cemetery”
Putting dozens of sponsor marks on one page can make every logo too small to recognize. Rotate several sponsor slides, group sponsors by tier, give major sponsors dedicated recognition, preserve clear space, maintain original proportions, and use approved brand files. Fundraising and gala content

Keep the recipient name, award title, organization/logo, and optional photo large and consistent. Avoid biography paragraphs while a recipient walks to the stage. If nominees or winners change live, coordinate the update and playback workflow with the production team.
Make QR codes practical to scan
QR success depends on displayed physical size, viewer distance, contrast, clear space around the code, camera angle, display brightness, and dwell time. Use high contrast, a simple background, generous clear space, and tests with multiple phones from the actual audience area. Do not put a tiny code in a ballroom slide corner or remove it before attendees can get their phones ready. There is no universal scan-distance formula that replaces an onsite test.
Design for more than perfect eyesight

Designing content when cameras and IMAG are used
IMAG means image magnification: live camera feeds shown for the audience. Slides may coexist with camera images, lower thirds, names, logos, and picture-in-picture layouts. Keep critical content away from regions used by lower thirds, remote-participant windows, camera overlays, or branding. Daylight LED
Favor large text, strong contrast, simple graphics, limited fine detail, and recognizable images. Outdoor attendees may be farther away, standing, moving, and viewing from changing angles.
Dusk
Make the design hold up while ambient light changes significantly during the program.
Night projection
